Chapter 4 focuses on Elicitation and Collaboration. Ongoing stakeholder engagement is critical for project success. Elicitation and collaboration is used to support the process of stakeholder engagement. 

Through Elicitation, Business Analysts are able to ascertain information regarding project requirements, design, and expectations from all stakeholders through every touch-point of the project process. Collaboration happens throughout the project process when all stakeholders work closely, directly and indirectly, with the Business Analyst to complete the project. Through the process of Elicitation and Collaboration, additional questions may be asked and clarified. Additional research may need to be done.

The following tasks are important:
·      Prepare for Elicitation – when a Business Analyst prepares for elicitation, the analyst ensures that the stakeholders know beforehand what is required of them for the project. This also includes conducting research to prepare well for the project requirements. The desired outcomes are determined and used to make a project plan.

·        Conduct Elicitation – To conduct elicitation, Business Analysts must use varying techniques to get the information they need for the project. These may include brainstorming, benchmarking and market analysis, interviews, focus groups and surveys. Elicitation is conducted using research, collaboration and experiments.

·        Confirm Elicitation Results – once elicitation is conducted, results must be verified for accuracy and consistency. These results are compared to source information or against other elicitation results. The techniques used in this task are interviews, document analyses and reviews.

·        Communicate Business Analysis Information – Effective communication is another critical element. Business Analysts are required to communicate clearly and frequently with stakeholders using written formats, informal discussions and presentations to ensure there is a shared understanding across all involved in the project from conception to implementation.

·        Manage Stakeholder Collaboration – In this stage, Business Analysts take advantage of all possible avenues to maintain ongoing stakeholder involvement and build positive relationships towards project goals and deliverables. Stakeholder commitment is therefore strengthened and support for project success has a greater level of being attained. Strategies such as collaborative games/ simulations, lessons learned reviews and risk analysis and management are effective in managing and maintaining stakeholder collaboration.

  2. Conduct Elicitation - involves systematically discovering and studying information from materials or sources that are not directly known by stakeholders involved in the change. Stakeholders might still participate in the research. Research can include data analysis of historical data to identify trends or past results.

  3. Elicitation occurs throughout the project. It is the decision that what, who and when is to be chosen in the business process. Conduction of Elicitation for any variation in project and confirmation of Elicitation for analysis are the important parts. Communication of the business processes is important to promote understanding among stakeholders. And further, stakeholders must work collaboratively to prepare strategies and achieve goals.
